Site management · Oʻahu
Site management for Oʻahu condominiums and community associations. We're the people on the property.
HiCoastal's site management team takes care of what happens on the ground: walking the common areas, coordinating vendors, answering residents and getting requests to the board ready to decide. Your board sets the direction. We follow through.

What we take care of
The work that would otherwise land on your board.
Volunteer directors shouldn't be the building's front desk, dispatcher and filing cabinet. This is what our team handles, and what changes for the board when we do.
- 01
Someone who knows the property
Each community has a named HiCoastal site management contact who knows the buildings, the residents and the vendors, on a schedule agreed with your board.
Residents call us, not your directors at home.
- 02
Common areas, walked and written down
We document common-area walk-throughs in RentCheck, with dated photo reports. At Rainbow Series Kauhale that happens every week, and residents can read each report on the community portal.
A record of the building's condition, not a memory of it.
- 03
Vendors coordinated, residents told
We coordinate with the vendors your association uses and post what residents need to know, like the stall-by-stall parking schedule for October's tree trimming at Rainbow Series Kauhale.
Work gets done without a director relaying every message.
- 04
Requests that reach the board ready to decide
Owners send modification requests through the portal. We check each one is complete, and pass it to the board when board approval is needed. Owners are told plainly they don't need to contact board members themselves.
Complete paperwork, and fewer calls and emails to directors.
- 05
One phone line and one inbox per community
Every community has its own phone line and email address for site management, published on its portal, so residents always know where to go.
Questions go to the team whose job it is to answer them.
- 06
Records kept in order
Resident, vehicle and pet registrations, guest parking and amenity requests come in through online forms and are filed in the association's records.
The information is there when the board needs it.
Proactive site management
Small things, found while they're still small.
A loose railing, a stained ceiling tile, a slow drip under a stairwell. Problems like these are cheap when someone notices them early. Our approach is simple and it repeats:
Walk the property
Common areas, on the schedule agreed with your board.
Write down what we see
Dated photos and a rating for each area, in a report anyone can read.
Coordinate the fix
With the association's vendors, and with the board when a decision is needed.
Tell the people affected
Notices on the community portal, before the work starts.
Look again
The next walk-through shows whether it's resolved.
No one can promise a building will never leak. What we can promise is that someone is looking, writing it down and following up.

The October 7 walk-through rated 16 common-area items: 15 good and 1 fair, the exterior trash area. The summary and the full photo report are on the residents' portal.
Water shutoffs must be scheduled at least 48 hours ahead, so they can be coordinated with the other residents in the building. It's posted on the portal and on the request form itself.
Community portals
Every community gets its own website.
HiCoastal builds a portal for each association we serve. No login, works on any phone, and it answers the questions that would otherwise end up with your board: where the house rules are, how to register a car, who to call.

Why HiCoastal
Hands on, written down, followed up.
We're on the property.
Named people who know your buildings and the residents in them, not a call center and not a ticket queue.
Everything gets written down.
Inspections, requests and notices leave a dated record the board can look back on.
We built the tools ourselves.
The community portals are HiCoastal's own work, set up around each association's rules and documents.
We're local.
Hawaii Coastal Property Management has managed homes on Oʻahu since 2009. We know the buildings, the vendors and the island.

Hawaii Coastal Property Management adopted the on-site management of our 86-unit property earlier this year. They have delivered exceptional service and value to our community. As an owner in our association, I trust their wonderful commitment and responsiveness.
